Keep the entrance calm and let the child choose to approach, wave or watch. A familiar adult can stay close without urging a hug or conversation.
Offer a simple group wave, question or photo option, and tell children they may watch instead. Ask the character provider what activities are available.
Give the confirmed venue hours, arrival plan and any child comfort notes. Ask us to confirm program details, costs and availability; a request for a date is not a reservation.
For a Camp Springs, North Carolina gathering, build the visit schedule around the facility's permitted hours, then leave breathing room for the child's first hello. A gentle introduction might begin with a wave or a familiar adult beside the birthday child; a photo can follow if the child wants one. Invite guests to join a short, low-pressure group moment, while making watching an acceptable choice. Before settling on a time, share the venue's access and schedule with the organizer and ask us to confirm character-program details, costs and availability.
Useful rules and places to check, each with its official source.
North Carolina State Parks notes that facilities can have limited hours. Check the exact shelter or room's permitted use period, layout and reservation conditions before setting the entertainer's arrival and departure times. Ask the park about hired entertainment separately; a facility reservation does not establish approval for all party activities.
Official source (opens in a new tab)For any outdoor gathering, arrange an accessible indoor backup before the party. National Weather Service guidance identifies buildings with wiring and plumbing as stronger protection; an open picnic shelter is not a lightning backup. This is national planning guidance, not a local venue rule.
