Offer watching from beside a trusted adult as a complete first choice. Let children opt into a wave, a question or a photo when ready.
Choose a clear, uncluttered spot and ask the photographer to keep the group small. Give children time to approach at their own pace.
Ask about the requested character, program ideas, timing, cost and availability. A date or ZIP request is not a reservation or payment.
In Otis Orchards, plan the character visit around one calm highlight rather than a packed schedule. A gentle greeting, a short story or game, then a photo moment gives children room to warm up at their own pace. Tell the character team the child's age, preferred name and any details that could help the greeting feel comfortable. Choose a simple indoor activity as well, so the celebration still has a clear plan if weather changes. Program details, cost and availability must be confirmed with the theme provider.
Useful rules and places to check, each with its official source.
Washington State Parks identifies reservation types that require its call center. Check the actual facility type and booking channel before trying to secure a picnic shelter or group space online. Verify access, setup and permission for hired entertainment separately with the operator; a reservation route is not event approval.
Official source (opens in a new tab)For any outdoor gathering, arrange an accessible indoor backup before the party. National Weather Service guidance identifies buildings with wiring and plumbing as stronger protection; an open picnic shelter is not a lightning backup. This is national planning guidance, not a local venue rule.
